HomeWORKFLOW GUIDE

A clearer DME delivery workflow, from intake to follow-up

A delivery is the visible end of several office and field decisions. A useful DME workflow makes each handoff clear: what information is ready, who owns the next action and where the team can review progress. Use this outline to identify the parts of your process that need closer coordination.

Start with usable intake information

Gather the patient, provider and supporting document context required by your process. Review insurance and authorization information before the operational handoff. Establish how staff identify incomplete information and who follows up, so an unfinished request is not mistaken for work that is ready to schedule.

Connect the request to equipment and an order

Review the requested products and the inventory information needed for planning. Define who creates or updates orders and visits, and how changes are communicated to the next person. A shared record is useful only when the team agrees which information must be current before dispatch takes over.

Give dispatch and drivers the same context

Coordinate assigned work, delivery stops and route information. Decide how the office handles a changed schedule and how the driver receives updated details. Mobile access should be evaluated against the driver's actual tasks and device requirements, including the permissions needed to view the assigned work.

  • Confirm the owner of each assignment
  • Review how schedule changes reach the field
  • Agree on the information dispatch needs for follow-up

Close the handoff to billing

After the field activity, identify the records and procedures needed for financial follow-up. Review how the billing team finds work that needs attention and how remittances and checks are handled. Make exception handling part of the process, rather than relying on informal messages to explain missing context.

Use a demonstration to check the gaps

Bring one fictional delivery scenario and one exception to a software demonstration. Ask to follow both through the office, field and billing workspaces. DME Software supports requests, orders, inventory, delivery coordination and billing workflows; the exact configuration and import requirements should be agreed for your company.
